Award of Contract for Fire Hall Communications Antennas Removal and Relocation,
Project 01-14
;ummar~: Bid proposals for the Fire Hall Communications Antennas Removal and Relocation,
Project 01-14 were opened September 17, 2003. Greentree Communications of Sequim was the
low responsible bidder.
Recommendation: Award and authorize the Mayor to sign the contract for the Fire Hall
Communications Antennas Removal and Relocation, Project 01-14, to Greentree
Communications in the amount of $16,121.80.
Background / Analysis:
The project to replace the roof on thc Fire Hall has been awarded. It is necessary to relocate the
roof mounted antennas prior to work commencing on the roof to avoid disruption of
communications for the Fire Department and delays in replacing the roof.
This contract was developed instead of placing the requirement on the prime contractor in part as
an effort to permit Fire Department personnel to have a greater control over the work for
coordination purposes. Also developing a solution that was cost effective, timely and
minimized communications disruptions presented significant challenges that were finalized late
in the design process.
Two finns on the Public Works Small Works Roster were requested to submit bids. It was
anticipated that the bid for the antenna relocations would be within the $15,000 contract
authority of the City Manager. The low responsible bid in the amount of $16,121.80 as well as
the only bid was submitted by Greentree Communications. This firm currently performs work
with the Fire Department and they have been satisfied with their past performance and costs. The
price bid is considered to be fair and reasonable.
It is recommended that the Council award and authorize the Mayor to sign a contract with
Greentree Communications in the amount of $16,121.80. Initial funding is from the General
Fund Reserves. WCIA has indicated that the City will be reimbursed for the project work.
