Activity 1:
Email Flurry
Wile E. Coyote sits on a seven-member advisory board. He learns about an interesting opportunity for
local business ACME Inc to present to the board. He sends an email describing the opportunity to fellow
board members Roadrunner and Yosemite Sam. Yosemite Sam replies all saying that he thinks the
presentation idea is good. Roadrunner quickly sends the email chain to Chair Daffy Duck letting him
know about the presentation opportunity. When Daffy Duck gets the email, he responds to Roadrunner
to tell her he will put the item on the agenda for a future meeting, and he cc’s the rest of the board to
remind them to avoid serial meetings.
Conference Encounter
Flopsy, who sits on a five-member advisory board, is attending an out-of-town sustainable gardening
conference. After an interesting presentation on rain gardens, Flopsy goes out into the hall, where she
runs into Miffy, a fellow board member. Neither of them realized they would both be attending the
conference. Miffy tells Flopsy she is interested in putting a rain garden in her own yard. Flopsy points
out that rain gardens could be a good thing to add to City landscaping, and that they should bring this up
at their next board meeting. They are discussing this when Hazel, a third board member, spots them and
walks over to say hello. Flopsy has to leave to go to another presentation, but as she is walking away,
she hears Miffy telling Hazel about the idea for City rain gardens. That evening, Flopsy emails the
information about the rain gardens to the board clerk and chair to ask that the item be put on a meeting
agenda.
Telephone Tag
Toto sits on a seven-member advisory board. There is a controversial item about the dog park on the
agenda for the next meeting. Toto is still undecided about how he will vote, so he calls his friend Andrew
to see what he is planning to do. They discuss the vote. Later Andrew gets a call from Beethoven asking
about his plans for the vote. Meanwhile, Toto decides to call Bruiser to get his opinion. After his phone
call with Andrew, Beethoven calls board Chair Lassie to ask about another agenda item, but he brings up
the vote and indicates that other board members are undecided. Lassie is concerned that there is too
much out of meeting chatter, so she sends out an email to the board to remind them about serial
meetings.
Discuss:
When did a serial meeting occur?
What could the members have done differently to avoid risk?
